Roles & Responsibilities
Administrative Management:
- Manage all personal affairs for the CEO, including booking appointments, reservations, and travel arrangements.
- Coordinate itineraries, making reservations at various venues including restaurants and hotels.
- Organize calls and events, ensuring all protocols are followed, especially when guests are involved.
- Maintain and manage the CEO's calendar, prioritizing tasks that require immediate attention.
- Facilitate personal bill payments and expense reports, liaising with the Executive Office and Controller as necessary.
- Manage all incoming correspondence via phone, fax, and mail, ensuring timely responses.
- Develop and maintain a robust information management system, both physical and digital, serving as the central repository for the Executive Office.
Social Media Management:
- Oversee the general management of social media and content.
- Plan and organize diverse events such as conferences, dinners, and speaking engagements, handling all necessary preparations, note-taking, and follow-up.
- Assist in communication tasks, including formatting presentations and reports.
- Maintain a sales database, and clients follow.
Research and Communication Support:
- Research various subjects, individuals, companies, and events, providing comprehensive reports as needed.
- Coordinate and manage the CEO's coaching client calls and contracts.
Desired Candidate Profile
- Previous experience as a personal assistant preferred, preferably supporting high- level executives.
However, fresher may be considered with the right potential.
- Driving experience not must but preferred.
- Impeccable presentation and professionalism.
- Proven ability to handle multiple tasks with humility and efficiency.
- Proficiency in organizing and managing diverse tasks with attention to detail.
- Exceptional communication skills, both written and verbal, with a high level of fluency in English.
- Flexibility in handling unforeseen events or last-minute changes.
